Alumni Privacy Policy

As a graduate of the University of Technology Sydney or one of our antecedent institutions (referred to as we, us, our or UTS), you are automatically part of our alumni community. This includes students who have participated in student mobility programs with us.

This privacy policy explains how and why we collect and process your personal information and underpins our commitment to protecting privacy.

Collecting your information

We will collect and maintain the following information:

•    your current contact details. 
•    your ongoing employment/career or study. 
•    profile information about you for our alumni stories where relevant
•    if you are nominated for an Alumni Award, additional information to support the nomination (see further below).

How we use your information

We use your information:

•    to correspond with you and maintain our relationship with you. This includes informing you about news, courses, events, benefits, and opportunities to engage with, and support UTS. 
•    to provide alumni benefits where eligible
•    to manage our Alumni Awards program (see further below)
•    to facilitate nomination, appointments and engagement with you as an alumni ambassador or a member of one of our alumni advisory boards, if relevant to you.
•    for benchmarking, analyses, quality improvement and planning purposes, including conducting surveys and supporting our UTS rankings.
•    to develop and provide more tailored communications and customised services to you.

Who receives your information

We only disclose your personal information:

•    for the purpose for which it was collected, or for a directly related purpose,
•    where you have provided your consent, or
•    if we are required or permitted to do so by law.

The following are examples of other parties who may receive your information for our legitimate purposes:

•    information may be provided to industry partners or other service providers who are contracted by UTS, including to host information systems or process communications. Some service providers store data outside Australia, in the cloud, or may access data from overseas locations. When we provide your information to a service provider we take measures to ensure that they have appropriate security and privacy arrangements and practices in place.
•    information may be provided to other alumni or the broader alumni community, where you have agreed to be an alumni ambassador or are appointed to an alumni advisory board, for the purpose of facilitating engagement and support of our alumni community.

Alumni Awards

We recognise the excellent work of our alumni through our Alumni Awards program. If you are nominated for an alumni award, we collect additional information about you and your achievements from the person who nominated you. Information received will be validated against existing information held. Winners who accept an alumni award will be publicly recognised, including via our UTS Alumni Awards Honour Roll.

If you nominate an alumni for an award, we will also collect personal information about you, such as your contact details and nomination statement, for the purpose of processing the nomination and communicating with you.

Data collected for the Alumni Awards is processed under contract with Creative Force. Please refer also to their privacy policy.

How long we keep your information

Your information will be kept for as long as it is needed for the purposes in this notice, and in line with our requirements to keep records under the State Records Act 1998 (NSW).

Your rights in relation to your information

You can contact us to:
•    request access to or correct your information, or to request further details about what information is held about you and how it is used.
•    request us to stop processing your information or to restrict how your information is processed (your information may still be processed if we are required by law to do so. Refer also to the unsubscribe section below)
•    request us to transfer your information to another party if this is technically possible or feasible.
•    request us to delete your information (restrictions may apply depending on our legal obligations).
•    make a complaint about how your personal information has been handled.

If you choose not to provide or update your information, or you unsubscribe from our communications, it may not be possible for us to maintain contact with you or process a particular request or benefit that you may be entitled to.

Unsubscribe

You can unsubscribe from our alumni communications at any time by following the unsubscribe options provided in those communications. You may also contact us directly to unsubscribe (refer to contact us below).
Unsubscribing from alumni communications will not unsubscribe you from other communications if you have provided your contact details to UTS for other purposes. For example, marketing for potential courses or subscribing to a faculty’s newsletter (refer to the marketing privacy notice). You will need to unsubscribe separately in these cases.

Grounds that we rely on to process your information

In addition to this notice, we rely on the following grounds to collect, use and otherwise process your personal information:
•    where it is required as part of any agreement we have with you, such as student exchange agreement
•    where it is necessary for our legitimate interests and the purposes under this notice
•    with your consent in situations where consent is requested from you.
